Exhibitor Guide: Everything You Need to Know Before the Trade Show

We're excited to have you as an exhibitor at the 2026 NTRCA Not So Mini Trade Show! Below is everything you need to know before you arrive to help make your day as smooth and successful as possible.

  • Schedule

    • Exhibitor Setup: 8:00 AM – 10:00 AM

    • Trade Show: 10:00 AM – 2:00 PM

    • Exhibitor Breakdown: 2:00 PM – 3:00 PM

  • Coffee will be available but bring your own breakfast


What Your Booth Includes

Each exhibitor booth includes:

  • One 6-foot table with a black tablecloth

    • (Two 6-foot tables if you're a Corner Booth or Lounge Sponsor)

  • Two chairs

  • Two exhibitor tickets, which include lunch and beverages

    • Additional exhibitor tickets are available for $20 each.

  • Access to electricity (please bring your own extension cords and electrical tape)

  • Stickers to use for the Trade Show Bingo game




What Do You Bring?

Because this is a "Mini" Trade Show with tabletop exhibits rather than 10' x 10' booths, pop-up banners and tabletop displays work best for the space provided.


We suggest bringing:

  • Small Pop-up banner(s) sized to fit behind your 6-foot table

  • Product samples, demos, or marketing materials that will fit on your 6-foot tabletop

  • Company swag

  • Your own branded tablecloth (optional)

  • Extension cords and electrical tape if you'll be using electricity



Bringing a Door Prize?

Door prizes are always a favorite with attendees! If you're planning to bring one, please provide a door prize valued at $150 or more.

Decided to Bring One at the Last Minute?

No problem! Simply bring your door prize to the registration table during exhibitor setup. Please tape a business card to the prize so we know who donated it.




How Trade Show Bingo Works

Each contractor attendee receives a trade show map that also serves as their Trade Show Bingo card.


As attendees visit your booth, place one of your provided stickers over your booth location on their card.


The more exhibitors they visit and collect stickers from, the more raffle tickets they'll receive for our door prize drawings making this a great way to encourage conversations throughout the show.



Load-In Information

The easiest place to unload is the loading dock on the south side of the hotel near the tennis courts, which provides direct access to the event space.


After unloading:

  1. Move your vehicle to the main hotel parking lot.

  2. Re-enter the building through the main entrance.

We'll include a photo below showing the unloading location.


With more than 70 exhibitors, the loading dock may become busy during setup. We appreciate your patience and ask everyone to unload efficiently and move vehicles promptly so everyone has room to set up.



Hotel Room Blocks


The hotel is offering a courtesy rate of $199 plus tax for the nights of Wednesday, August 19 – Friday, August 21. This rate is net, non-commissionable, based on availability, and includes transportation to and from DFW Airport.
